Enterprise AI knowledge-base implementation checklist
Move from source inventory and access control to retrieval acceptance without ending up with more documents and the same untrusted answers.
Our position
Knowledge-base failures are rarely about retrieval. They are almost always about nobody defining who has the right to say it.
What to take away
- Set authoritative sources, updates, and user scenarios before chunking documents.
- Access control must operate inside retrieval, not only at the page entrance.
- Acceptance needs real questions and tests for retrieval, citation, and refusal.
Method breakdown
-
Inventory knowledge before importing files
Teams often hold multiple versions, temporary attachments, and personal notes for the same topic. Record source, owner, date, sensitivity, and audience, then decide which version can support an answer. Faster retrieval only spreads conflicts faster when this layer is missing.
- Mark authoritative versions and expiry dates
- Assign an owner to every source class
- Remove duplicates and unresolved conflicts
-
Design retrieval around real questions
Policies, product manuals, and procedures require different context. Use recurring questions to test recall, then tune metadata, keywords, and semantic retrieval rather than applying one chunking parameter everywhere.
- Collect 30–50 real starter questions
- Preserve source and version with every answer
- Treat cross-document questions as a separate case
-
Accept refusal and permissions too
A trustworthy knowledge base must answer well and refuse correctly when evidence is weak or access is missing. Cover normal, ambiguous, stale, and unauthorized questions, and define how each failure returns to an improvement queue.
- Test retrieval under different roles
- Refuse when evidence is insufficient
- Track wrong answers through correction
Action checklist
- Does every source have an owner, version, and sensitivity level?
- Does the test set include frequent, ambiguous, cross-document, and unauthorized questions?
- Can every answer expose a source and update date?
- Does authorization apply during retrieval?
- Can wrong answers enter a traceable correction queue?
